Terms of Service

The agreement between you and Nexamail — written to be fair, readable, and human.

Our promises to you

  • Your emails are never sold.
  • Your inbox is never used to train public AI models.
  • Nothing is ever sent without your explicit approval.
  • Access can be revoked at any time, instantly.

By using Nexamail you agree to the terms below. We have intentionally kept them short, plain, and free of legal theatre. Where the law requires precision, we say so clearly.

What Nexamail does

Nexamail is a privacy-first AI email assistant. The service helps you manage your inbox by:

  • Connecting securely to Gmail or Outlook through official OAuth flows.
  • Surfacing the messages and threads that matter to you.
  • Drafting replies you can review, edit, or discard.
  • Summarising long threads and attachments.
  • Prioritising what needs attention now versus later.
  • Surfacing reminders, follow-ups, and recommended next actions.
  • Automating routine workflows you choose to enable.

Nexamail is an assistant — it never replaces your judgement. You remain in control of every outbound action.

Your account

You are responsible for keeping your credentials safe and for activity under your account. You must be at least 13 years old (16 in the EEA) to create an account.

Your responsibilities

  • Account security — protect your login credentials, enable a strong password, and notify us at security@nexamail.ai if you suspect unauthorised access.
  • Accurate information — provide truthful account details and keep them up to date.
  • Compliance with laws — use Nexamail in accordance with applicable laws and regulations in your jurisdiction.
  • Content responsibility — you are solely responsible for the content of any message sent from your account, including drafts approved with AI assistance.

Acceptable use

You agree not to use Nexamail to:

  • Send spam, unsolicited bulk email, or marketing without recipient consent.
  • Conduct phishing, impersonation, fraud, or social engineering.
  • Distribute malware, ransomware, or any malicious code.
  • Engage in any unlawful activity or violate the rights of others.
  • Abuse the AI systems through prompt injection, jailbreaking, or attempts to extract training data.
  • Bypass quotas, rate limits, security controls, or technical restrictions.
  • Resell, sublicense, or reverse-engineer the service without written permission.

Security & access

  • We connect to your mailbox through OAuth — we never see or store your provider password.
  • Connections are encrypted in transit and at rest, and refresh tokens are kept server-side under least-privilege scopes.
  • You can disconnect Nexamail at any time from Settings, or revoke access directly from your Google or Microsoft security page.

Service availability

Nexamail may occasionally experience planned maintenance, unexpected outages, service interruptions, or disruptions caused by third-party providers (such as Google, Microsoft, or hosting infrastructure). We do not guarantee uninterrupted availability and are not liable for downtime that falls outside our direct control. We will communicate significant planned maintenance in advance where reasonably possible.

AI features

AI-powered features, including Scam Checker, Summaries, AI Reply, Task Extraction, Subscription Detection, Calendar Suggestions, and other recommendations are provided for informational and productivity purposes only.

AI-generated results may contain inaccuracies and should always be reviewed by the user before taking action.

Scam Checker disclaimer

Scam Checker provides an assessment based on available information and recognised fraud indicators.

Nexamail does not guarantee that an email identified as safe is free from risk, nor that all malicious emails will be detected.

Users remain solely responsible for any decisions made based on Scam Checker results.

Subscription detection

Subscription detection is designed to organise recurring services and related emails.

Nexamail may classify subscriptions using AI and email analysis, but classifications may occasionally be incorrect.

Users should verify billing dates, subscription status, renewal dates, and cancellation information independently.

No automatic actions

Nexamail will never automatically cancel subscriptions, unsubscribe users, send emails, delete emails, report fraud, make payments, or renew subscriptions unless the user explicitly confirms the requested action.

AI output & human approval

Nexamail assists you with drafts, summaries, and recommendations — but nothing is ever sent, scheduled, or accepted on your behalf without your explicit approval. AI suggestions are a starting point; you remain in control of every outbound message and every decision attributed to your account.

AI disclaimer

AI-generated drafts, summaries, recommendations, reminders, and follow-up suggestions may contain mistakes, omissions, or inaccuracies. You are solely responsible for reviewing all AI output before approving, sending, or acting on it. Nexamail does not guarantee the accuracy, completeness, or appropriateness of AI output and will not be held liable for decisions made based on it. Human approval is required before any outbound action occurs.

Third-party services

Nexamail relies on third-party services including Google, Microsoft, OpenAI, Stripe, Cloudflare, and Supabase. We are not responsible for outages, policy changes, API restrictions, or failures of these third-party services. Your use of Nexamail is also subject to the terms and policies of the email providers and other services you connect.

Subscriptions & billing

  • Billing cycle — plans are billed monthly or annually, in advance, at the price displayed at checkout.
  • Renewals — subscriptions renew automatically at the end of each cycle unless cancelled before the renewal date.
  • Cancellation — you can cancel at any time from Settings → Billing. You retain access to paid features until the end of your current period.
  • Refunds — refund requests are reviewed case-by-case in good faith. Where required by law (for example, EU/UK consumer rights), statutory refund rights apply.
  • Price changes — we will give at least 30 days' notice of any price change affecting your renewal.
  • Taxes — prices may exclude VAT or local sales tax, which is added at checkout where applicable.

Founding Member status

Founding Member is an honorary, recognition-based tier for early supporters who help shape the future of Nexamail. It includes a permanent badge, introductory pricing, and a closer line to the product team.

Founding Member status is not a security, share, or financial instrument. It does not grant equity, ownership, voting rights, dividends, profit-sharing, board influence, or any legal stake in Nexamail. It is a token of appreciation — nothing more, nothing less.

Termination

  • By you — you can delete your account at any time from Settings → Privacy. Deletion is scheduled immediately.
  • By us — we may suspend or terminate accounts that violate these terms, abuse the service, or pose a security risk, with notice where reasonably possible.
  • Data deletion — once an account is deleted, personal data is removed from active systems within 30 days. Encrypted backups roll off within a further 30 days.
  • Surviving terms — provisions that by their nature should survive termination (such as liability, governing law, and intellectual property) will continue to apply.

Liability

Nexamail is provided on an "as is" and "as available" basis without warranties of any kind, express or implied. To the maximum extent permitted by applicable law, our total aggregate liability arising out of or relating to the service is limited to the fees you paid to Nexamail in the 12 months preceding the event giving rise to the claim. We are not liable for indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, goodwill, or business opportunities.

Nothing in these terms limits or excludes liability that cannot lawfully be limited or excluded, including liability for death or personal injury caused by negligence, fraud, or fraudulent misrepresentation, or statutory consumer rights.

Governing law

These terms are governed by the laws of the United Kingdom (specifically the laws of England and Wales). Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales, without prejudice to any mandatory consumer protections available to you in your country of residence.

Operator information

Nexamail is currently operated by its founder in the United Kingdom and is not currently incorporated as a Limited Company or other legal entity. The service may later transition to a registered legal entity. If that happens, your existing rights and commitments under these terms will continue to apply.

Changes to these terms

If we make material changes, we will notify you by email or in-app at least 14 days before they take effect, so you have time to review and decide.
